Find the repeated versions of your documents and sort them into folders

Contract.docx, Contract final.docx, Contract final (1).docx and the PDF you exported. SimilDoc reads the text of your documents, recognizes which ones are the same even when the name or format changes, and puts each document in its own folder. All of it happens on your computer.

What SimilDoc is

SimilDoc is a desktop app for Windows and Mac that finds documents saying almost the same thing and sorts them. It is for that moment when five versions of the same file are scattered across a folder and you no longer know which one is the right one.

It does not look for files that match by name or size, the way duplicate finders do. It reads the text of every document and compares it with all the others, so it recognizes a contract even when it has another name or another format.

What it does

  • Reads PDF, Word (.docx), TXT and Markdown.
  • Groups versions of the same document even when the name or format changes, like a Word file and its PDF.
  • Tells you how similar each file is, as a percentage.
  • Flags exact copies as clones and keeps the oldest one as the original.
  • Sorts everything into folders and stamps each file with its saved date.

What it does not do

  • It does not upload your files to the internet or to any server.
  • It does not delete or overwrite anything.
  • It does not move a single file before showing you the groups.
  • It does not read documents scanned as images: there is no text recognition (OCR) yet.
  • It does not ask for an account, an email or a subscription.

How it works

Four steps. Your disk does not change until the last one, and only if you confirm.

  1. Pick a folder

Drag it onto the window or browse for it. Include its subfolders too if you want.

  2. SimilDoc reads and compares

It extracts the text of each document and compares it with every other one. Two documents land in the same group when they are 90% similar or more.

  3. Review the groups

You see every group, with how similar each file is. Grouped too much or too little? Move the similarity slider and the groups rebuild instantly.

  4. Confirm and choose how

Copy leaves your originals where they are and builds the sorted folder next to them. Move actually tidies them. Either way, a report records everything that was done.

What your folder looks like afterwards

  • SimilDoc - Organizado
    • Contract Final
      • Contract (guardado 2025-01-15).docx
      • Contract final (guardado 2025-03-02).docx
      • Contract final (1) (clon, guardado 2025-03-09).docx
      • Contract client (guardado 2025-03-10).pdf
    • Proposal
      • Proposal_v1 (guardado 2025-02-08).pdf
    • Únicos
      • Meeting notes (guardado 2025-05-20).txt
    • simildoc-reporte.json

Files with no match go to “Únicos” and files that could not be read go to “No legibles”. Nothing is left loose, and your original files are never renamed. The folder names and tags (guardado means saved, clon means clone) are in Spanish, like the app.

Your privacy does not depend on trusting us

SimilDoc has no server. We are not promising not to look at your files: there is simply nowhere for them to be sent.

Guaranteed by design

Your documents never leave your computer

The app does not connect to the internet to work. The whole analysis runs on your machine, start to finish.

Guaranteed by design

It never deletes or overwrites files

It only copies or moves. If a name is already taken, it adds (2) instead of replacing the file.

What never reaches us

  • Your documents or what they say
  • The names of your files and folders
  • Usage statistics, crash reports or telemetry
  • Your email or personal data: there is no account

Check it offline

  1. Download SimilDoc.
  2. Turn off wifi or unplug the network cable.
  3. Open the app and analyze a folder. It works just the same.

This website does not use cookies, analytics or third-party fonts and scripts either.

The first time you open it

Windows may show “Windows protected your PC”, because the app is not signed with a Microsoft certificate. Click “More info” and then “Run anyway”. It only happens the first time.

Mac

Mac with Apple silicon (M1 or later). Version 1.1.0

The first time you open it

Unzip the file and drag SimilDoc to Applications. Since it is not signed with an Apple certificate, macOS will block it the first time: go to System Settings, Privacy & Security, and click “Open Anyway”. It only happens once.

The app’s interface is in Spanish for now. An English interface is planned.

Frequently asked questions

Is it really free?

Yes, for personal and nonprofit use. There is no paid tier, no trial period and no locked features. If you plan to use it in a business, write to us.

Can anyone see my files?

No. SimilDoc runs inside your computer and sends nothing to the internet. We have no server that receives documents, so there is no way for them to reach us. You can check it by using the app offline.

Can it delete or damage my documents?

It never deletes or overwrites anything. It only copies or moves, and always after showing you the groups and asking you to confirm. On your first run, use Copy: your originals stay exactly where they are.

What if it groups documents that do not belong together?

You see it before anything moves. You can ask for more or less similarity before files are grouped, and the groups rebuild on the spot. SimilDoc compares text, so it gets it right most of the time, but it is not infallible: you have the final say.

Which files does it understand?

PDF, Word (.docx), TXT and Markdown. PDFs scanned as images have no text to read and end up in “No legibles”. Files over 100 MB are skipped.

Will I get a security warning when I open it?

Most likely, because the app is not signed with an Apple or Microsoft certificate. It is a normal warning for apps downloaded outside a store. The Download section has the steps; you only do it once.

Is the interface in English?

Not yet. The app is in Spanish for now, and an English interface is planned. Grouping works the same with documents in any language that uses text.

My documents are in OneDrive, Dropbox or iCloud. Is that a problem?

It works the same. Just keep in mind that if you reorganize a synced folder, your service will sync those changes like any other file you move. To start, try Copy on a small folder.

What happens if the project disappears?

The app keeps working. It does not depend on any server or on an online license that someone could switch off.

Something went wrong?

If something was grouped badly, a file was not read or the app closed, tell us and we will look into it.

Report a problem

Your email app opens with a template: your system, the steps and what happened. That is almost always enough.

Write the report

Do not attach your documents

We do not need them to fix a problem and we will never ask for them. The steps and the error message are almost always enough.

Sort your documents without them ever leaving your computer
